Team Organization & Project Management: Streamlining Collaboration

Effective team organization and project management require clear structure and defined hierarchies. Record'em provides a three-tier organizational model: Organization → Workspace → Project, ensuring clear boundaries and proper resource allocation across your business operations.
Three-Tier Organizational Structure
Record'em's organizational hierarchy creates clear boundaries and enables efficient management at scale. The structure flows from Organization level down to individual Projects, with each level inheriting permissions and settings from above.
Organizational Hierarchy:
- Organization Level: The top-tier structure representing your company or enterprise, where global settings and master roles are defined.
- Workspace Level: Intermediate organizational units such as departments, teams, or business units that operate within the organization.
- Project Level: Individual projects that exist within workspaces, inheriting permissions and settings from their parent workspace and organization.
- Inherited Roles: Permissions and roles cascade down the hierarchy, ensuring consistent access control while determining what each member can see and access.
Inherited Roles and Visibility
The role inheritance system ensures consistent access control across the organizational hierarchy while determining what each member can see and access. Member visibility depends on their highest level of membership in the organization structure.
How Role Inheritance and Visibility Work:
- Organization Members: Users who are members at the organization level can see all workspaces and projects within the entire organization.
- Workspace Members: Users who are members at the workspace level can see all projects within that specific workspace, but not other workspaces.
- Project Members: Users who are invited only to specific projects can see only those projects they've been explicitly invited to join.
- Permission Inheritance: Higher-level membership automatically grants access to lower levels, so organization members inherit workspace and project access automatically.
Practical Implementation
The Organization → Workspace → Project structure provides clear boundaries for different business areas while maintaining centralized control. For example, a software company might have "Development" and "Marketing" workspaces under their main organization, with individual client projects nested within each workspace.
In this structure, organization members can see all Development and Marketing workspaces and their projects. Workspace members in the Development workspace can see all development projects but not marketing projects. Project members invited to a specific client project can only see that particular project.
Scalable Access Management
As your business grows, the hierarchical structure scales naturally. New workspaces can be created for different departments or business units, each inheriting the organization's base settings while maintaining their own specific member access levels.
The inherited role system ensures that access control remains consistent and manageable—organization members automatically have visibility across all areas, while workspace and project members have appropriately scoped access based on their level of involvement.
